|Advertise In The Modern Square|
Subscriptions to The Modern Square are $20 per year. The cost averages out to around $1.67 a month, or just under 6 cents a day. That's a small price to pay to support square and round dancing in Arkansas.
So The Modern Square can keep its special bulk/periodicals rate with the Postal Service, a MINIMUM of 60% of the total Subscriber Database entries MUST be PAID SUBSCRIPTIONS. Preliminary data for the December, 2014 Subscriber Database showed us DANGEROUSLY CLOSE to NOT being able to meet that requirement. Should that occur, the ASSDF would either have to pay FULL POSTAGE (around an additional $175 to $200 per issue), which could BANKRUPT the organization...or be PROHIBITED from publishing and mailing altogether.
If you are already subscribed, THANK YOU. But, if you are NOT currently a subscriber, and possibly just
sharing a subscription with a ''group copy'' at a club dance, PLEASE STRONGLY CONSIDER SUBSCRIBING!!
These free copies are for:
1) The callers and cuers as a THANK YOU for their work in preparing the square or round dance each week. Yours truly, the webmaster, having done amateur calling myself years ago, I personally can tell you that it's not as easy as it looks. Unfortunately, health and other issues preclude me taking up calling ever again.
2) The ASSDF Officers, for either giving out at Subscription Dances, or for selling advertising.
At the Subscription Dances, prospective subscribers need to know what they are getting for their subscription. Besides, if I was a prospective purchaser for an ad (whether a Booster Ad, or a half page, or a full page ad)...let alone a subscription to The Modern Square, I would WANT TO SEE what I'm getting for my money.
3) The Publications Manager at the Business Mail Entry Unit of the U.S. Postal Service, to prove the ASSDF is in compliance with their regulations.
4) The Circulation Manager has a LIMITED NUMBER of free copies (these are first come, first serve) for:
a) Subscribers who MISS the deadline for subscribing.
b) Subscribers who FAIL to notify the Circulation Manager of a change of address, and they do not get their copy. When these come back to the Circulation Manager as undeliverable, the ASSDF must pay a fee for the returned copy, and for sending out a replacement (if one is available...that is NOT guaranteed)...and the subscription is then SUSPENDED, until the Circulation Manager is notified of the new address.
c) Subscribers who do NOT get their copy delivered, due to failure by the Postal Service carrier on their route (I heard of one case where ''the carrier didn't feel like delivering it'').
In short, if these extra copies weren't available...especially for items 2 and 3 above...it'd be much more difficult to sell ads (let alone subscriptions)...or if an issue was missed
due to the dancer neglecting to notify the Circulation Manager; or Postal Service delivery error...then the dancer would basically be ''out of luck'' for that issue...even if they
had items in that particular issue.
If you make the payment out to any entity besides the ASSDF, or you mail it to the Circulation Manager instead of the Treasurer, your payment is likely to be RETURNED, and your new/renewal subscription request will NOT be processed. If it the subscription expires because of this, your data will be REMOVED from the database, and you may NOT be able to get back copies of missed issues.
However, if you have an ADDRESS CHANGE (your subscription is NOT up for renewal), mail the form to Daryl Stout, P.O. Box 55655, Little Rock, AR 72215.
Please note that the ASSDF is NOT RESPONSIBLE for lost, stolen, or misdirected mail. You will need the Adobe Acrobat Reader to view and/or print the Subscription Form, noted above.
PLEASE PRINT CLEARLY the information on the Subscription Form, as some recent subscription forms have been TOO ILLEGIBLE TO READ. If the letters ''get wet'' in the course of delivery, and the form gets ''smudged'', we don't know where to send the subscription...let alone contact the dancer to verify the information.
If your copy of The Modern Square is RETURNED as UNDELIVERABLE, your subscription will be SUSPENDED, until you contact the Circulation Manager with the updated information. It now costs nearly 60 cents to take care of this at the Post Office, every time it occurs, and this rate is likely to increase in the coming years. Then, to purchase an additional envelope to mail a replacement copy via First Class Mail (if one is available), that adds an additional $1.40 -- so, it basically comes to a $2 cost to the ASSDF for every subscription returned as UNDELIVERABLE.
Also, The Modern Square is now available in an E-edition...which is ONLY AVAILABLE to paid subscribers...or an authorized receiver of a free copy of the printed version (i.e. callers, cuers, and ASSDF Oficers (noted above)). Each month, a copy of the Subscriber Database is sent to the Editor, who then verifies that ONLY those individuals on that list receive the link to the E-edition (the link changes each month). Receiving the E-edition is OPTIONAL, and you can NOT get the E-edition just by itself.
Advantages of the E-edition include receipt of it nearly 2 to 3 weeks earlier than Postal Service delivery of the print edition...all of the pictures in the e-edition of the publication are IN COLOR...and various email links are clickable. You will need the Adobe Acrobat Reader to view/print the E-edition. Paid subscribers who would like a link to the E-edition can contact the Editor via Email, as noted The Modern Square. Your email address is used ONLY to notify you of the link for the E-edition once a month, and is NOT sold, distributed, etc. to anyone else.

Adobe Acrobat Reader to view/print the file. However, note that regular link(s) to the E-Edition are NOT AVAILABLE via the
ASSDF website. This prevents non-subscribers from having access to the publication for free (without a paid subscription).
As an example, dancers whose subscriptions are to expire in October, are mailed a card in late August...since the September issue is to arrive in their mailboxes a week or so after the cards are mailed. The Subscriber Database for that issue is sent to the printer by the 10th of the month, preceding the month of issue (click here for more information); and once the deadline passes, if a renewal has not been received by the ASSDF Treasurer (who forwards this data to the ASSDF Circulation Manager, that subscription data is REMOVED from the Subscriber Database.
Please note that the mailing of the Reminder Cards done AT NO CHARGE to the ASSDF, whether for postage, envelopes, cards, ink cartridges for printing, etc. Note that there will be ONLY ONE CARD SENT to a subscriber. If the subscriber fails to respond, it will be assumed that they (unfortunately) do not wish to renew their subscription.
PLEASE DO NOT WAIT UNTIL THE LAST MINUTE TO RENEW YOUR SUBSCRIPTION!!...and that includes at a Subscription Dance that is scheduled very close to the 10th of the month, preceding the month of issue. Otherwise, you risk MISSING one or more issues, and you may NOT be able to obtain copies of the missed issues, even if you had material published in them!!
If you have a question as to WHEN your subscription expires, or if there is a discrepancy on your subscription expiration, please contact the Circulation Manager IMMEDIATELY, via information on the ASSDF Officers Page. You can contact the Circulation Manager via email, voice mail, or Postal Mail. When working with computers, mistakes sometimes do occur.
Also, if you do not have a computer or internet access...and calling Little Rock is long distance for you, then you will need to write your name, address, phone number where you can reached, and the best time to contact you, on a piece of paper...then put it into an envelope with First Class Postage, and mail it to the Circulation Manager. Whichever method is used, you will be contacted as soon as possible. If you do NOT contact the Circulation Manager, then it will appear that nothing is wrong with your subscription.
Note that if data from a Subscription Dance is DELAYED in getting to the Circulation Manager, because of Postal Service delays, etc. it could take 2 months or more to restart your subscription.
The Circulation Manager MUST send the data into the printer no later than the 10th of the month, preceding the month of issue (for example, November 10, for the December issue). If you MISS THE DEADLINE, your subscription MUST WAIT UNTIL THE NEXT ISSUE.
Please do NOT have someone else contact the Circulation Manager, concerning YOUR subscription...as the information
then is ''second hand''. If the information they have is WRONG, it could take longer to fix the problem with your
subscription. The only exception to ''second hand data'' is for the next of kin of a dancer who has died,
to contact the Circulation Manager, to end the subscription, because of said dancers death. In rememberance of those
dancers who are gone, but not forgotten, a special recognition page is located here.
However, once their complimentary subscription EXPIRES, they are REMOVED from the database, unless they renew.
Also, their complete and correct mailing address must be provided to the Circulation Manager. If a zip code is either missing or wrong...or if the street address ''doesn't exist''...it may be returned as UNDELIVERABLE, and the new graduate will lose out on the complementary subscription.
Please note that these subscriptions are NOT for dancers who have been through class before, graduated, danced a short time, dropped out of the hobby...and now want to get back into the hobby. If their name and/or address are already in the Subscriber Database Summary (from the past several years), they are NOT eligible to receive one of these subscriptions. Basically, you are a brand new, first time, square or round dancer, only once.

Unfortunately, with a lack of both subscribers (new and renewal), and advertising in the publication, it is rapidly depleting the resources of the ASSDF, because of associated ever increasing printing and postage costs.
While some have discussed reducing frequency of publication, or ''going online'' (as other publications have), that would leave many who can't get, don't have, or don't want, a computer or internet access, ''out in the cold''...not to mention that it'd be a greater burden on Club Reporters...especially for those who fit into the above category. And, there are a surprisingly large number of people who fit into this category...especially in the rural areas of Arkansas... and in some areas, it's difficult to even get to a public library, where a computer would be available for use.
Plus, the ASSDF does NOT have the funding available to provide refunds for subscriptions, if The Modern Square were to go to ''online only''. And, except for the reports from the various clubs, articles by ASSDF Officers, and selected ASSDF Callers And Cuers; practically everything else from The Modern Square is on the ASSDF Website.
The ASSDF has added Booster Ads to The Modern Square. The ads, at $10 per insertion, are for non-square dance related announcements, and used to support The Modern Square. For details, click here. You will need the Adobe Acrobat Reader to view/print the file.
In fact, ALL PICTURES WERE REMOVED from the printed copy of the December, 2015 issue, because of a lack of ad revenue. If this continues, it would mean ENFORCEMENT of the 250 word limit on Club Reports, or either REDUCING the frequency of publication to bi-monthly (every other month), or AT MINIMUM, 4 times a year (quarterly). Note that the Postal Service will NOT permit mailing of a publication that does not publish at least 4 times a year. And, obviously, IF THERE'S NO MONEY in the Treasury, due to A LACK OF ADS OR SUBSCRIPTIONS, then both The Modern Square, and possibly the ASSDF would be history.
NOTE: To further save costs, there is a possibility that the ASSDF may soon make available the e-Edition as a separate entity at a reduced subscription rate, where the subscriber would not have to also get the printed copy. However, doing so would also mean increased work for the Circulation Manager with paperwork from the Postal Service. I believe there would still be a MINIMUM of printed subscriptions required, to go along with the e-Edition subscriptions. Plus, if the e-Edition only subscription were to be implemented, does this mean that the subscriber can NOT return to the printed edition??
As a side note, the Circulation Manager is REQUIRED to turn in the yearly USPS Form 3526 (required for all publications) before October 1 of each year. Note that if a publication fails to turn in the USPS Form 3526, their bulk mailing privileges with the Postal Service are SUSPENDED.
Note that if any changes are done, they likely won't be done until sometime in 2017.

The reason for the deadlines are that The Modern Square is handled under a ''bulk/periodicals rate'', which has LOWER PRIORITY than First Class Mail. Also, with recent changes to the Postal Service, mail delivery times may be slowed.
And, at times, because of schedule conflicts, the Editor may require an EARLIER date deadline for item submissions...
please check The Modern Square for these announcements. If the Club Report, ad, etc. does not make it to the Editor
prior to this deadline, it will NOT appear in the upcoming issue. Conversely, if subscription updates do not make
it to the Circulation Manager by the deadlines noted below, the subscription will be DELAYED until the next month.
If the 10th of the month, preceding the month of issue, is on a regular business day (Monday through Friday), data must be in by the 10th.
If the 10th of the month, preceding the month of issue, is on a holiday, data must be in by the last business day before the holiday.
If the 10th of the month, preceding the month of issue, is on a Saturday, data must be in by the 9th of the month.
If the 10th of the month, preceding the month of issue, is on a Sunday, data must be in by the 8th of the month.
If your address in the database is CORRECT, and your SUBSCRIPTION IS NOT EXPIRED...but you still are not getting your copy of The Modern Square by the first or second day of the month of issue (not including Sundays or holidays), then you MUST contact the Post Office in your Zip Code area, and you must complain vociferously. Unfortunately, as noted above, since The Modern Square is sent via the Periodicals Postage rate, it has a lower priority than regular First Class Mail...so, it can't be traced.

Please try to schedule your dances at least three (3) months ahead...so sufficient time can be had to get it into The Modern Square, and onto the ASSDF website. You may schedule a Subscription Dance as far ahead as one year in advance.
If the Subscription Dance information below is incorrect, please contact me via this link, or from the information listed on the ASSDF Officers page...with the details. Again, this is taken DIRECTLY from The Modern Square; however, I sometimes unintentionally make typographical errors in transposing the information...or I may be delayed in getting it posted, if I have computer, internet, or weather issues.
Note that if the Subscription Dance is scheduled very close to the 10th of the month, preceding the month of issue, there is a chance that the updated subscription data (new or renewal) may NOT make it to the Circulation Manager in time for that next issue...and it will be delayed one month as a result. While some clubs can't work around such deadlines, dancers who wait until the last minute to renew need to bear this in mind.
