The Modern Square
is the ASSDF's monthly publication, containing reports from the various square and round dance clubs and organizations across Arkansas...as well as information on upcoming special dances. The ASSDF, and your fellow square and round dancers THANK YOU in advance for your support, and subscription.

NOTE: Due to continually increasing costs for postage and printing, and the decline in subscriptions and ads in the publication...effective Jan. 1, 2015, subscriptions to The Modern Square will INCREASE to $20 per year. Even with that increase, the cost averages out to $1.67 a month, or just under 6 cents a day. That's a small price to pay to support square and round dancing in Arkansas.

So The Modern Square can keep its special bulk/periodicals rate with the Postal Service, a MINIMUM of 60% of the total Subscriber Database entries MUST be PAID SUBSCRIPTIONS. Preliminary data for the December, 2014 Subscriber Database showed us DANGEROUSLY CLOSE to NOT being able to meet that requirement. Should that occur, the ASSDF would either have to pay FULL POSTAGE (around an additional $175 to $200 per issue), which could BANKRUPT the organization...or be PROHIBITED from publishing and mailing altogether.

Since the purpose of the ASSDF is for publication of The Modern Square... if it can't be published due to cost or other issues, the organization may be forced to disband.

If you are already subscribed, THANK YOU. But, if you are NOT currently a subscriber, and possibly just sharing a subscription with a ''group copy'' at a club dance, PLEASE STRONGLY CONSIDER SUBSCRIBING!!


There seems to be confusion, per the article in the December, 2014 issue of The Modern Square, concerning free copies to callers and cuers, and ASSDF Officers, when the dancers are having to pay for their subscriptions.

These free copies are for:

1) The callers and cuers as a THANK YOU for their work in preparing the square or round dance each week. Yours truly, the webmaster, having done amateur calling myself years ago, I personally can tell you that it's not as easy as it looks.

2) The ASSDF Officers, for either giving out at Subscription Dances, or for selling advertising.

Except for the Specials Dance for The Three Amigos Dance in early January, 2015...the ASSDF Fall Festival, and 2 ads by the webmaster...NO OTHER ADS were in the December, 2014 issue of The Modern Square. At the Subscription Dances, prospective subscribers need to know what they are getting for their subscription.

Besides, if I was a prospective purchaser for an ad (whether a Booster Ad, or a half page, or a full page ad)...let alone a subscription to The Modern Square, I would WANT TO SEE what I'm getting for my money.

3) The Circulation Manager has a LIMITED NUMBER of free copies (these are first come, first serve) for:

a) Subscribers who MISS the deadline for subscribing.

b) Subscribers who FAIL to notify the Circulation Manager of a change of address, and they do not get their copy. When these come back to the Circulation Manager as undeliverable, the ASSDF must pay a fee for the returned copy...and the subscription is then SUSPENDED, until the Circulation Manager is notified of the new address. Note that missed copies of a SUSPENDED subscription will likely NOT be available.

c) Subscribers who do NOT get their copy delivered, due to failure by the Postal Service carrier on their route (I heard of one case where ''the carrier didn't feel like delivering it'').

In short, if these extra copies weren't available...especially for items 2 and 3 above...it'd be much more difficult to sell ads (let alone subscriptions)...or if an issue was missed due to the dancer neglecting to notify the Circulation Manager; or Postal Service delivery error...then the dancer would basically be ''out of luck'' for that issue...even if they had items in that particular issue.


To SUBSCRIBE, or to RENEW YOUR SUBSCRIPTION, print, and fill out this Subscription Form (you will need the Adobe Acrobat Reader to view/print the file), or use the form that is in The Modern Square...and mail it, along with your check (DO NOT SEND CASH), payable to the ASSDF, for $20 per year (effective Jan. 1, 2015), to Carolyn Birdsong, ASSDF Treasurer, 28912 Bandy Road, Little Rock, AR 72223.

Subscription Address Data will be forwarded to the Circulation Manager via email, and the Subscriber Database will be updated accordingly. When a new Treasurer is elected/takes office, the information will be updated here, and in The Modern Square as soon as possible.

Please do NOT send the payment for your subscription to the Circulation Manager...as it will be DELAYED in getting to the Treasurer, and the database update may be DELAYED as well.

However, if you have an ADDRESS CHANGE (your subscription is NOT up for renewal), mail the form to Daryl Stout, P.O. Box 55655, Little Rock, AR 72215.

Please note that the ASSDF is NOT RESPONSIBLE for lost, stolen, or misdirected mail. You will need the Adobe Acrobat Reader to view and/or print the Subscription Form, noted above.

PLEASE PRINT CLEARLY the information on the Subscription Form, as some recent subscription forms have been TOO ILLEGIBLE TO READ. If the letters ''get wet'' in the course of delivery, and the form gets ''smudged'', we don't know where to send the subscription...let alone contact the dancer to verify the information.

If your copy of The Modern Square is RETURNED as UNDELIVERABLE, your subscription will be SUSPENDED, until you contact the Circulation Manager with the updated information. It now costs nearly 60 cents to take care of this at the Post Office, every time it occurs, and this rate is likely to increase in the coming years.


To make dancers aware of when their subscription will EXPIRE, I have restarted mailing out Reminder Cards like the one shown above. These are mailed out after the 21st of the month, and before the 1st of the following month, before the month of issue when the subscription expires. Unfortunately, over 50% of these cards that are sent out, do NOT generate a renewal.

As an example, dancers whose subscriptions are to expire in October, are mailed a card in late August...since the September issue is to arrive in their mailboxes a week or so after the cards are mailed. The subscriber database for that issue is sent to the printer by the 10th of the month, preceding the month of issue (click here for more information); and once the deadline passes, if a renewal has not been received by the ASSDF Treasurer (who forwards this data to the ASSDF Circulation Manager, that subscription data is REMOVED from the Subscriber Database.

Please note that this done AT NO CHARGE to the ASSDF, whether for postage, envelopes, cards, ink cartridges for printing, etc. Note that there will be ONLY ONE CARD SENT to a subscriber. If the subscriber fails to respond, it will be assumed that they (unfortunately) do not wish to renew their subscription.

PLEASE DO NOT WAIT UNTIL THE LAST MINUTE TO RENEW YOUR SUBSCRIPTION!! If you have a question as to WHEN your subscription expires, please contact the Circulation Manager via information on the ASSDF Officers Page. You can contact the Circulation Manager via email, voice mail, or Postal Mail.

Also, if you do not have a computer or internet access...and calling Little Rock is long distance for you, then you will need to write your name, address, phone number where you can reached, and the best time to contact you, on a piece of paper...then put it into an envelope with First Class Postage, and mail it to the Circulation Manager. Whichever method is used, you will be contacted as soon as possible. If you do NOT contact the Circulation Manager, then it will appear that nothing is wrong with your subscription.

Note that if data from a Subscription Dance is DELAYED in getting to the Circulation Manager, because of Postal Service delays, etc. it could take 2 months or more to restart your subscription.

The Circulation Manager MUST send the data into the printer no later than the 10th of the month, preceding the month of issue (November 10 for the December issue). If you MISS THE DEADLINE, your subscription MUST WAIT UNTIL THE NEXT ISSUE. Data is usually emailed to the printer no later than 4pm Central Time, on the required date noted elsewhere on this page.

Please do NOT have someone else contact the Circulation Manager, concerning YOUR subscription...as the information then is ''second hand''. If the information they have is WRONG, it could take longer to fix the problem with your subscription. The only exception to ''second hand data'' is for the next of kin of a dancer who has died, to contact the Circulation Manager, to end the subscription, because of said dancers death. In rememberance of those dancers who are gone, but not forgotten, a special recognition page is located here.


Note that since the subscription to The Modern Square is AUTOMATICALLY TERMINATED in the event of the dancers death (one obviously has no use for it after they've died)...if the widow or family member of the dancer wants a complimentary 3 month extension for information on memorials to their deceased loved one in Club Reports, they should contact the Circulation Manager, with the report of the passing of their loved one...and include a copy of the obituary, confirming the death of said caller, cuer, or dancer. If they want to continue subscribing afterwards, they can do so with information found on this page. If there was still several months left on the subscription, the expiration date will be REDUCED to 3 months after the death of said dancer, caller, or cuer...unless the widow or family member wants the full balance of subscription to be fulfilled.

NEW, FIRST TIME GRADUATES from square or round dance lessons, will receive a COMPLIMENTARY three (3) month subscription to The Modern Square...but it is up to the caller, cuer, or club officers to contact the Circulation Manager of the new graduates names, and addresses. This special 3 month COMPLIMENTARY subscription is given, in the hopes it'll encourage the new dancer(s) to sign up for a regular subscription, for one year or more...and to keep them informed on square and round dancing in Arkansas.

However, once their complimentary subscription EXPIRES, they are REMOVED from the database, unless they renew.

Also, their complete and correct mailing address must be provided to the Circulation Manager. If a zip code is either missing or wrong...or if the street address ''doesn't exist''...it may be returned as UNDELIVERABLE, and the new graduate will lose out on the complementary subscription.

Please note that these subscriptions are NOT for dancers who have been through class before, graduated, danced a short time, dropped out of the hobby...and now want to get back in. If their name and/or address are already in the Subscriber Database Summary (from the past several years), they are NOT eligible to receive one of these subscriptions. Basically, you are a brand new, first time, square or round dancer, only once.

Advertise In The Modern Square


Besides a yearly subscription (noted above), you can also support The Modern Square with placements of advertising in the publication. Note that rates are different for ASSDF Member Clubs, versus Commercial (non-ASSDF) members. ADVANCE PAYMENT IN FULL IS REQUIRED. These rates are subject to change without notice. The ASSDF Editor reserves the right to omit, condense, or rewrite all items submitted. See the ASSDF Officers page for information on the current Editor.

Full Page Ad Monthly Rate: $25 for ASSDF Member Clubs, $35 for non-ASSDF members.

Those taking out a one year ad will receive a one month insertion of their ad free of charge...basically, listing your ad for 13 times at the price of 12. A list of those businesses and individuals that advertise in The Modern Square is located here.


The main goal for the Arkansas State Square Dance Federation is for the existence of The Modern Square.

Unfortunately, with a lack of both subscribers (new and renewal), and advertising in the publication, it is rapidly depleting the resources of the ASSDF, because of associated ever increasing printing and postage costs.

While some have discussed reducing frequency of publication, or ''going online'' (as other publications have), that would leave many who can't get, don't have, or don't want, a computer or internet access, ''out in the cold''...not to mention that it'd be a greater burden on Club Reporters...especially for those who fit into the above category. And, there are a surprisingly large number of people who fit into this category...especially in the rural areas of Arkansas... and in some areas, it's difficult to even get to a public library, where a computer would be available for use.

Plus, the ASSDF does NOT have the funding available to provide refunds for subscriptions, if The Modern Square were to go to ''online only''. And, except for the reports from the various clubs, articles by ASSDF Officers, and selected ASSDF Callers And Cuers; practically everything else from The Modern Square is on the ASSDF Website.

The ASSDF has added Booster Ads to The Modern Square. The ads, at $10 per insertion, are for non-square dance related announcements, and used to support The Modern Square. For details, click here. You will need the Adobe Acrobat Reader to view/print the file.

However, options of either REDUCING THE FREQUENCY OF PUBLICATION or GOING ONLINE may have to be CONSIDERED at some point... especially if costs of postage and printing can NOT be met, due to a lack of advertising in the publication...or the amount of subscriptions. Obviously, IF THERE'S NO MONEY in the Treasury, due to A LACK OF ADS OR SUBSCRIPTIONS, then both The Modern Square, and the ASSDF would be history.

Content Deadlines/Delivery


For information to get into The Modern Square, it has to be in the hands of the Editor by the 5th of the month, preceding the month of issue (for example, May 5th for the June issue)...and the printer has to have it by the 10th of the month (if not before), preceding the month of issue. The printer can usually have it printed in less than 5 days, and then taken to the Postal Facility in Little Rock.

The reason for the deadlines are that The Modern Square is handled under a ''bulk/periodicals rate'', which has LOWER PRIORITY than First Class Mail. Also, with recent changes to the Postal Service, mail delivery times may be slowed.

And, at times, because of schedule conflicts, the Editor may require an EARLIER date deadline for item submissions... please check The Modern Square for these announcements. If the Club Report, ad, etc. does not make it to the Editor prior to this deadline, it will NOT appear in the upcoming issue. Conversely, if subscription updates do not make it to the Circulation Manager by the deadlines noted below, the subscription will be DELAYED until the next month.


Concerning the deadlines, the Circulation Manager, must have any subscription updates to get to the printer by 4pm Central Time, on these dates:

If the 10th of the month, preceding the month of issue, is on a regular business day (Monday through Friday), data must be in by the 10th.

If the 10th of the month, preceding the month of issue, is on a holiday, data must be in by the last business day before the holiday.

If the 10th of the month, preceding the month of issue, is on a Saturday, data must be in by the 9th of the month.

If the 10th of the month, preceding the month of issue, is on a Sunday, data must be in by the 8th of the month.


Take note that once the Circulation Manager sends in the subscriber database to the Printer, IT IS OUT OF THE HANDS of the ASSDF, and becomes THE RESPONSIBILITY OF THE PRINTER. Once the publication has been printed, and taken to the Post Office facility in Little Rock (prior to the 23rd of the month, preceding the month of issue (such as November 23 for the December issue)), IT IS THE RESPONSIBILITY OF THE POSTAL SERVICE to get that delivered.

If your address in the database is CORRECT, and your SUBSCRIPTION IS NOT EXPIRED...but you still are not getting your copy of The Modern Square by the first or second day of the month of issue (not including Sundays or holidays), then you MUST contact the Post Office in your Zip Code area, to put a tracer on the publication, and you must complain vociferously.

Subscription Dances


Subscription Dances are where dancers can sign up for, or renew their subscription to The Modern Square. The following is a list of these scheduled dances, and it was last updated as of the date at the top of this page. While I personally am unable to make most of these dances (due to taking care of my elderly Mom, plus health issues of my own, and severe weather operations via Skywarn, etc.), at least one of the ASSDF Officers should be there. Please check with the Club Contact listed below, prior to travelling to the dance...to be sure that the dance hasn't been cancelled or postponed at the last minute, for weather or another reason. Subscription Dances can always be rescheduled, if need be. All times listed are U.S. Central Time.

Please try to schedule your dances at least three (3) months ahead...so sufficient time can be had to get it into The Modern Square, and onto the ASSDF website. You may schedule a Subscription Dance as far ahead as one year in advance.

If the Subscription Dance information below is incorrect, please contact me via this link, or from the information listed on the ASSDF Officers page...with the details. Again, this is taken DIRECTLY from The Modern Square; however, I sometimes unintentionally make typographical errors in transposing the information...or I may be delayed in getting it posted, if I have computer, internet, or weather issues.
